1. Booking can be done (any time within one year) in advance of the actual date of the function only by Life/Associate Members on first come first-served basis.
  2. Booking shall be deemed to be confirmed only after booking charges as specified have been paid in full.
  3. The applicant shall obtain estimate of Catering/Tentage services from the AVCC approved contractors/decorator as selected by him and duly signed by both. He shall deposit the amount through DD/local cheque at least one month prior to the function.
    In case the payment is made in the last three days of the function no Cheque will be accepted. Any subsequent changes or additions/deletions shall be intimated to the Genera Manager of the AVCC and additional charges, Extra Plates Charges will be deposited within 48hrs If any, paid to the AVCC. Non payment may result in cancellation of the booking end cancellation charges levied as per Pare 6 Below. No payment will be made to the contractor directly for any item except for flowers. Any dispute during finalisation of the bill shall be referred to an Arbitrator appointed by the Management Committee whose decision shall be final and binding on both the parties.
  4. Booking rates are for 6 hrs only in respect of Electricity, Party Room, Conference Room and Bridal Rooms. The Bride Room will be handed back within two hours of the bride’s departure to the Mandap. Additional charges-will be levied at the rats of Rs 200/- for every extra hour. Booking for the Hall shall be for 8 hours. There will be two separate bookings of Hall for lunch and dinner.
  5. Cancellation Charges of AVCC Guesr Rooms
    (i) 50% Deduction on booking amount in case of cancellation up to 72 hrs. Prior to booked day.
    (ii) 75% Deduction if Cancellation made within 72hrs. of the day of function
    Cancellation charges for Venue booking
    (i) Normally premise: once booked will not be cancelled.
    (ii) In exceptional circumstances, based on written application from applicant, the Management Committee may consider refund after levy of Service Charges at 10% per month or part threof from the date of booking as given by AVCC in its receipt.
    (iii) No refund if booked facility is not availed, on due data if AVCC has no prior intimation
    (iv) Two rooms will be kept under reserve quote and will be allotted only ten days in advance on first come first serve basis.
  6. Maximum capacity of the Party Room is 30. It will be ensured that the number of attendees does not exceed this number.
    Food will not be served in the Party Room except on obtaining specific permission from the General Manager in writing.
    This permission is strictly discretionary. Party Room will not be used far the purposes of sleeping during the night.
  7. Weapons Civil Band, Dhol, Ghori, Gas Lights are not permitted inside the AVCC premises.
  8. No crackers will be used within 100 meters of the AVCC complex.
  9. NO LIQUORE IS PERMITTED WITHIN THE PREMISES OF AVCC without Liquor Licence from the Excise Department
  10. All arrangements made for the function shall be cleared by 1000hrs. on the following day of the function failing which extra charges will be levied at the discretion of the General Manager.
  11. Final bill duly signed by the party and the contractor(s) will be submitted to the AVCC office within two days after the function is over, by the contractor(s).
  12. Complaints, if any, against contractor(s), AVCC staff must be submitted by the applicant within 24 hrs. to the General Manager.
  13. AVCC complex is surrounded by residential area and is adjacent to Chinmaya Mission and the Army Public School. Hence, music played shall be kept at low pitch so as not to cause any disturbance or be source of nuisance to others
  14. The security amount will be forfeited or deduction made therefrom at the discretion of the Management Committee in the following cases,
    (a) Non provision of information regarding changes in Nos. of invitees or actual attendees within 24 hours of the function by the applicant. Any attempt at fudging of figures or cheating the AVCC will be viewed very seriously.
    (b) Breekage/loss/damage of AVCC property or loss of keys of the guest room/not handing over the guest room in time.
    (c) Indiscipline/brawls/unseemly behavior resulting in loss of peace and damage to the reputation of AVCC.
    (d) Consumption of liquor in the AVCC premises.
    (e) Any manhandling or misbehavior with AVCC staff/representatives. This may also invite criminal charges.
    Bringing horse/animals/band party beyond the limits laid down.
    (g) Use of music/DJ beyond 10.00 PM. No DJ Permitted during day time.
    (h) Hiding facts/information or providing wrong information during booking regarding dependents/occasion of the function.
    (i) Payment made to contractors directly prior to/during/after the function as a sequel to the additione/extra services provided to the applicant for functions with in the AVCC premises without subsequent information to the Genral Manager within 24 hrs. of the occurrence.
    (j) Any adhoc contract made with the contractor for the function to be conducted without the knowledge and permission of the General Manager, AVCC.
    (k) Non vacation of the premises within the stipulated period
  15. Security amount will be refunded only Within 30 days of the function.
    NO REFUND WILL BE MADE AFTER 30 DAYS OF THE FUNCTION
  16. No entertainment troupe/professional dancer will be permitted in any function.
